Position Summary

The Harbor Entertainment Events & Marketing Coordinator is responsible for supporting event logistics and execution, current business processes and marketing efforts. We are seeking someone that is extremely detail oriented, very organized and passionate about smooth processes. The team member should be an exceptional communicator both internally and client facing. This full-time position requires flexible hours and travel. The Events & Marketing Coordinator will report to the Founder and Creative Director equally.

Duties and Responsibilities

Event Coordination Duties:

  • Act as event coordinator directly reporting to the Founder and Creative Director
  • These duties may include, but are not limited to:
    • Source venues, vendors, décor, giveaways, activities etc.
    • Gather details, budgets, and availability for events
  • Travel and scheduling for events
    • Source and book lodging, flights, and rental cars for all Harbor event dates
    • Create travel schedules and to appropriate calendars
    • Create schedule and route planning for Harbor vehicles
  • Create and adjust event production schedules
  • Function as a general “runner” and/or assistant during events

Business Processes Duties:

At Harbor Entertainment we utilize Google Business apps for general processes and organization. We are looking for someone proficient in Google Business that can continue these processes within the platform.

  • Organize clients and jobs:
    • Assist with creating contract documentation
    • Create and organize project folders
    • Create and organize job codes
    • Create calendars and benchmark dates
    • Read and organize any show paperwork and exhibit manuals
    • Manage Harbor online exhibit portal
    • Create pack sheet, setup, and travel documents
  • Post event processes:
    • Collect all photos in Google photos album
    • Distribute, collect, and organize post event recap notes from the Harbor team, client, and vendors
    • Create hard copy event binders to keep all invoices, emails, notes, etc.
    • Responsible for master calendar and completed jobs list

Marketing & Sales Duties:

  • Create and schedule monthly Mailchimp marketing emails
    • Create content ideas with support from leadership
    • Track and pull analytics for each eblast to report to management
  • Update website with new projects 2-4 times per year using WordPress
  • Build and maintain strong social media presence across all existing platforms including IG/FB/ LinkedIn
    • Managing social posting calendar
    • Writing social posts
    • Capturing interesting and relevant content at the office and on event sites

Education/Experience Requirements

  • High School Diploma or equivalent
  • Degree in related field preferred (event planning, marketing, hotel, or hospitality management)
  • Experience in the event, hospitality, restaurant, entertainment, or trade show industries

  • Must be exceptionally detail oriented, paying attention to even the smallest details
  • Extremely well-organized with strong multi-tasking and problem-solving skills
  • Excellent communication, negotiation, and vendor management skills
    • Ability to communicate with all parties via phone, email and in person resulting in a successful event for client, guests, vendors, and venues
  • Teamwork and leadership abilities
    • Must be able to work with staff/ or day-labor to complete job efficiently
    • Delegating properly to make sure team members have what they need
  • Must be able to resolve conflicts and complaints
  • Ability to remain calm and work well under pressure
  • Ability to work on multiple projects and deadlines
  • Effectively network with a wide variety of clients, vendors, venues and establish professional relationships
  • Dependable, reliable, and maintain high-quality standards
  • Professional appearance and persona
  • Google Business, Microsoft Office, both Mac and PC proficient
  • Read and use a tape measure

Work Environment/Physical Requirements

  • Good physical strength and stamina
  • Able to lift 50lbs
  • Able to work extended hours when required
  • Harbor Entertainment is a drug-free company, and testing is mandatory

Salary/Benefits

  • This is a full time, 40hrs per week position
    • Paid hourly with overtime where applicable
  • Salary will be determined according to applicant’s relevant experience and knowledge
    • Base pay starting at $19/hr
  • Harbor Entertainment will be responsible for basic costs (hotel, airfare, fuel, and daily per diem for meals) for travel outside the greater Nashville, TN area
  • Seven paid vacation days (some dates will be blacked out for event purposes)
  • Three Paid Personal Days
  • Harbor Entertainment will contribute a negotiated amount to an HSA if applicable
  • Harbor Entertainment will contribute a monthly stipend towards your cell phone bill
